Walk the arrival route
Start at the road entrance and follow the route a delivery vehicle would take. Note gates, restricted turns, overhead obstructions and any times when traffic or other suppliers occupy the space. Give the confirmed provider accurate information about the approach.
Look at the position from a user’s perspective
Choose stable ground with a clear route from the activity. Think about queues, lighting, mobility needs and proximity to washing. Keep doors and service access clear without placing equipment inside vehicle work zones or blocking normal circulation.
Check the return visit too
An installation should remain serviceable after fences, tents, materials or parked vehicles are added. Identify a contact for access questions and explain any changes before a scheduled visit. For trailers, confirm utilities and their responsibility separately.
Finally, plan removal: the route out must be clear when the hire ends. If the event or project is delayed, request an extension rather than assuming the equipment can stay indefinitely.
