Write down the working assumptions
Record the expected crew peak, shift length and availability of indoor facilities. Mark the proposed location and the access route. Include future phases that may introduce additional trades or close part of the site. These assumptions help explain the equipment quantity being discussed.
Assign the everyday responsibilities
Name the person who can answer delivery questions, report a servicing issue or request more capacity. Discuss what supplies and scheduled visits are included and what the site needs to monitor between them. Keep sensitive access information within the confirmed booking process.
Review when conditions change
Treat a large crew increase, a new work zone or a blocked entrance as a reason to review the arrangement. Do not relocate units without coordinating the move. Before final collection, check that later contractors will not still need facilities.
For specialised industrial access or operational restrictions, explain them in the original brief so they are not discovered at the gate.
