Think in audience peaks and separate zones
A headline performance, interval or meal period can create a much sharper demand than average attendance suggests. Explain how visitors arrive, how long they stay and whether the event spans multiple days. Distinct activity areas may need separate facility groups.
Keep pedestrian and service movement compatible
Mark the public entrances, food areas, stages and vehicle access on the same plan as the toilets. Leave space for queues without obstructing emergency or accessible routes. Discuss whether service visits can occur while the public is present or must use a controlled access window.
Washing stations should be visible and included in the operational plan. Ask who checks consumables and how a problem will be reported during busy periods.
Coordinate with the responsible organiser
Confirm the venue or land manager has accepted the proposed layout and supplier access. Any event-specific approval belongs with the relevant operator; renting equipment does not grant permission to place it. Provide a named on-site contact and agree collection after the public and other suppliers have cleared the area.
