Map the guest experience
Identify the arrival point, main activity and any separate dining or seating area. Check whether existing restrooms are open to your guests for the entire event. Distance and access can matter even when a permanent building is nearby.
Give the rental team a complete brief
Include the address, event hours, expected attendance, likely busy periods and the type of surface available. Mention washing, accessibility and any preference for upgraded cabins or a trailer. These details allow an equipment discussion based on your occasion rather than a generic package.
A temporary event may share space with normal business operations. Explain which entrances must remain open and whether deliveries need to avoid particular times.
Close the loop with the property operator
Agree the proposed position and vehicle route with the person responsible for the location. Confirm setup and removal windows before finalising the hire. Keep a contact available for delivery questions and tell the provider promptly if the event moves, grows or changes its programme.
